Asset Management Tool Power App - Demo and Install Guide

Asset Management Tool Power App - Demo and Install Guide

In this insightful demo and walkthrough, Nate Halliwell from Pragmatic Works introduces the Asset Management Tool—a Canvas Power App designed to help schools and organizations effectively track and manage devices, furniture, and other valuable assets. Whether it's assigning laptops to students or maintaining a history of inventory usage, this tool is built to simplify the process from start to finish.

Key Features of the Asset Management Tool

  • Track all assets by type (e.g., laptops, cables, desks, projectors).
  • Filter views by asset category: technology or furniture.
  • Check availability and assignment status for each asset.
  • Assign and return items with condition tracking and photo upload.
  • Scan items with barcode functionality on mobile devices.
  • Maintain a complete asset history log per user/item.
  • Admin portal for managing asset types and manufacturers.

Using the Tool as a Standard User

  1. Navigate to the Assets section to view items grouped by type.
  2. Use filters to quickly locate specific asset types (e.g., Lenovo laptops).
  3. Click on an available asset to assign it to a person, specify condition, and upload a photo.
  4. To return an item, select it based on asset type or assigned person, then mark its return condition and submit.
  5. Scan items using mobile devices with barcode capabilities to identify and reassign found assets.

Administrator Capabilities

Admins have access to additional configuration tools via the app’s side menu. These include:

  • Add/Edit Asset Types: Define new categories (e.g., "Teacher Desk" or "Bookshelf") and assign images.
  • Add New Assets: Input quantity, model details, manufacturer info, and create multiple instances with a flow.
  • Manage Manufacturers: Add new manufacturers and update contact information.

Installing the Application

To get started, two key Power Apps solutions must be imported:

  1. Pragmatic Works UI Components: These are required by the Asset Management app for interface functionality.
  2. Asset Management Solution: The core app logic and structure reside in this solution.

To import:

  • Go to make.powerapps.com and select your environment.
  • Navigate to Solutions and use the Import button.
  • Import each solution one at a time, starting with the UI components.

Setting Up Admin Groups

The app uses an Office 365 group to determine which users have admin rights. Here’s how to configure it:

  1. Open the mini app “Pick Your Admin Group” from the solution list.
  2. Select the group containing your intended admin users.
  3. Copy the group ID and paste it into the Asset Admin Group environment variable's current value field.

Final Configuration

  • Edit the header and footer text in the app’s OnStart properties.
  • Set VAR Dev Mode to false to hide testing controls like “Simulate Scan.”
  • Customize color schemes, menu items, and branding as needed.

Conclusion

The Asset Management Tool from Pragmatic Works is a powerful yet simple solution for managing distributed assets in a school or organizational setting. From real-time assignment tracking to intuitive admin controls, it offers everything you need to streamline asset operations. Once configured and published, your team can begin leveraging the app for effective asset lifecycle management.
