Creating a Power BI Dataset Using an Excel File

Getting Started with Power BI Service

Angelica begins by guiding viewers to the Power BI service and introducing the concept of workspaces. She emphasizes that while the steps are simple, they provide a powerful way to create datasets and reports quickly without leaving the platform.

  • Navigate to powerbi.com and open a workspace.
  • Create a new workspace if necessary; Angelica uses a workspace named Failed Banks in the US.
  • Select the New button, then Dataset to begin importing data.

Importing Excel Data

Once in the workspace, users have several options for adding data: Excel files, CSV files, or manual entry. For this example, Angelica chooses an Excel file.

  1. Select the Excel option and locate the desired file (in this case, a Bank list Excel file).
  2. Click Import to bring the data into Power BI.
  3. Once uploaded, the dataset appears in the workspace with all columns intact, such as Bank Name, City, State, Cert, Acquire Institution, Closing Date, and Fund.

Creating Reports Automatically

With the dataset in place, Angelica demonstrates Power BI’s Auto Create feature, which generates a report based on the imported data.

  • The auto-generated report provides an immediate visual representation of the data.
  • Columns such as Cert and State are automatically added to the visualizations.
  • Users can save a copy of the report for reference or comparison.

Building Custom Reports

If the auto-created report does not meet specific needs, Power BI allows users to create custom reports from the same dataset.

  1. Select the ellipses next to the dataset and choose Create Report.
  2. Use the visual gallery to select chart types; Angelica demonstrates a Stacked Bar Chart.
  3. Drag and drop columns to build visuals. For example:
    • Bank Name on the X-axis
    • State on the Y-axis
    • Optionally, add City to create a hierarchy for drill-down analysis
  4. Save the report with a descriptive name, such as Failed Banks US Report.

Analyzing Data Efficiently

Angelica highlights how easily users can explore their dataset:

  • View data by state or city.
  • Quickly identify trends and key insights using visualizations.
  • Create multiple reports from the same dataset, ensuring flexibility in analysis.
