Hidden Surveillance: Microsoft 365 Features Your Boss Uses

Hidden Surveillance: Microsoft 365 Features Your Boss Uses

Pragmatic Works CEO Brian Knight dives into the features of Microsoft 365 that allow employers to track various activities of their employees. From emails and search history to Teams messages and file access, Knight explains the built-in tools available to companies for employee monitoring. With increasing digital footprints at work, Microsoft 365 offers a range of tracking capabilities, even without third-party apps or monitoring devices.

What Microsoft Tracks: A Deeper Look

Brian starts by questioning what an employer can track within the Microsoft ecosystem. Below are some key insights shared in the video:

  • Search History: If employees are signed in to Microsoft products like Bing or Edge with their company credentials, some search history is tracked. However, this does not typically extend to personal searches or website traffic.
  • Emails and Teams Messages: Employers can access email messages and Teams conversations through the Compliance Center. Specific queries, such as searching for certain words in messages or emails, can be run to gather relevant information.
  • Team Activity Reports: Microsoft provides usage reports in Teams, showing what apps are being used, how many messages are sent, and meeting activities over a set period. This allows employers to see employee activity levels.
  • Presence Tracking: While Microsoft does not offer a rolled-up report of employee presence over time, employers can still monitor presence via third-party applications or PowerShell scripts that track availability in real-time.

Monitoring and Managing Employee Activity

Brian goes into detail on how employers can use the administrative tools in Microsoft 365 to manage employee data:

  • Content Search: Through the Compliance Center, administrators can search for specific emails, Teams messages, and files related to certain work items or employees. They can even export this data into a PST file for backup purposes.
  • Reading Employee Emails: Admins can get access to employee mailboxes by adding themselves as a reader, allowing them to review messages sent and received.
  • File Access via OneDrive: Employers can access any files stored on OneDrive for business by generating shareable links to those files, without the employee knowing about it.

AI Integration and Copilot

Artificial intelligence, through tools like Microsoft Copilot, offers employers even deeper insights into an employee’s activities. Employers can ask Copilot to summarize recent interactions with an employee, including messages, files, and work activity. This AI integration streamlines the monitoring process, providing easy access to detailed reports and summaries about an employee’s actions within the Microsoft ecosystem.

Employee Privacy and Microsoft’s Stance

While these surveillance capabilities exist, Brian also highlights Microsoft’s recent shift towards limiting excessive employee monitoring. Microsoft has released articles expressing concern over companies that overly track their employees and has restricted some previously available reports to employers.

Conclusion: Balancing Productivity and Privacy

Brian Knight encourages viewers to consider where the line between employee surveillance and productivity lies. While the tools available through Microsoft 365 can enhance productivity and security, it’s important for companies to balance monitoring with employee privacy. What are your thoughts on this issue?
